Updating Your Product Catalog

Learn how to update data in your catalog and schedule automatic re-imports to keep products, prices, and stock accurate.

After importing products from an Auto Integration for the first time, it’s important to keep your prices, stock levels, and product details up to date by re-importing them regularly. This ensures your X-Cart store always shows accurate data.

After all, no one wants a customer to buy a part that appears in stock – only to discover it’s no longer available at the distributor.

In this guide, we’ll walk you through how re-import works, what data gets updated, how to do it manually or on a schedule, how often you might want to run updates, and how to turn scheduling off if needed.


How Re-Import Works?

Re-import lets you pull the latest data on prices, stock levels, images, descriptions, and other product details from Auto Integrations into your X-Cart store, helping you avoid overselling, showing outdated prices, or missing new product information.

The re-import process is similar to the initial product import and should be done regularly to keep your catalog up to date for both you and your customers. However, re-import will only add new products or update existing ones within the categories you originally imported from each brand.

You can run re-import manually, but we recommend setting up an import schedule to automatically update each brand. Each Auto Integration and brand within it requires its own re-import schedule setup.


What Types of Data Can be Re-Imported

X-Cart defines three types of imports to update your catalog data:

Prices

MAP, retail, and cost prices with any necessary adjustments to maintain your profit margin.

Stock Information

Quantity available at the warehouse distributor.

Product Information

All other product details, like images, attachments, descriptions — that you selected in the Import Options of your Auto Integration (typically the data provider catalog).

Since prices and stock data generally require more frequent updates, you can set up separate schedules for price, stock, and product data imports.

❗ We recommend updating your stock information hourly, prices daily, and performing a full re-import of product data every two weeks.


Locating Product Import Settings

You can re-import product data from the same section as the original import.

In your X-Cart Admin:

  1. Go to Catalog › Catalog Import › Product Import.

  2. Choose your Auto Integration (like Turn14, AutoSync, or ATD).

Next, follow the steps to manually re-import or configure the import schedule.

Manually Re-Importing Product Data

To manually update all data (Prices, Stock, and Product information):

  1. Select the brands you want to re-import products from.

  2. Click Re-Import Brands to start the update.

  3. You can refresh the page to track the progress or leave it until the import is done.

To adjust pricing before importing, either open the settings for each brand or click Price to Import to apply pricing settings to all or selected brands.

❗ We recommend re-importing brands one by one to avoid overloading your store and causing it to crash.


Scheduling Automatic Re-Import of Product Data

To set up automatic updates for your catalog:

  1. Select the brands you want to re-import products from.

  2. Click Import Schedule and choose Schedule selected (or Schedule all).

  3. Click Save changes when finished.

Adjusting Import Schedule Settings

After clicking Import Schedule, a menu will appear with options for price, stock, and product information. From there, you can enable automatic updates and set the desired update frequency for your products.

💡 Define import rules for all brands

If you want to set it for specific brands, select them from the list or use the brand settings page.


Price and Stock Data

Enable Update Price and Update Stock to import inventory and pricing data from the Auto Integration automatically.

Then, set the frequency of the updates selecting one of the following options:

Hourly

Set the import to occur every hour at a specific minute [mm]. By default, it’s set to 00, meaning the re-import will run at the start of each hour (e.g., 1:00, 2:00, 3:00, etc.).

📋 Set 30 for updates to take place at 1:30, 2:30, 3:30, etc.

Daily

Use the selector to schedule the import every 24 hours at a specific time [hh:mm], with available 30-minute intervals (e.g., 12:00, 12:30, and 13:00, etc.).

📋 Set 00:00 for a daily re-import at midnight.

❗ We recommend updating your stock information hourly and prices daily.


Product Information

Enable the Import Schedule to fetch additional product data, like Descriptions, Images, Dimensions, and Fitments, from your Auto Integration at a specific time and date. Or leave it disabled to manually trigger imports when needed.

To choose which data to re-import go to the Import Options of the Auto Integration.

Use calendar field to set the date for the next re-import, and select the desired time using the time selector. It's best to schedule re-imports during low-traffic times, like overnight.

💡 Consider setting a different import schedule for each brand (e.g., Bilstein at 1:30 AM, Adventus at 2:00 AM) to avoid overloading your store.

Use the Repeat every checkbox to set up automatic re-imports, so new product data uploads at regular intervals. You can choose the frequency (daily, weekly, or monthly) and the number of cycles (2 to 10), or select Until canceled to keep the import schedule you set up run indefinitely.

For example, if you schedule the import to start on April 10, 2025, at 07:00, repeating weekly for 10 cycles, your catalog will be updated at 7:00 AM every week for the next 10 weeks.

❗ We recommend to set the import schedule to every 2 weeks, starting at your chosen day and time, until canceled.


Completing Import Schedule Settings

Once you've configured your import schedules for Price, Stock and Catalog Data, click Save changes to apply your settings.

Automated Catalog Import is set up!

The re-import cycle will start at the date and time you defined.


How to Reset Scheduling?

To disable scheduled re-import for selected or all brands in your catalog:

  1. Select specific brands, or leave all unselected to disable the entire catalog.

  2. Click Import Schedule and choose Unschedule Selected (or Unschedule All).

  3. Click Save Changes when finished.
