How to view stock information for products

You can access stock availability details for existing products in the following sections:

  • Product Listing page (Catalog > Products)

    On this page, products are displayed in a list format, and for each product, an overview of available stock data is provided.

    • Stock / My Store: Displays stock availability in your local inventory.

    • Stock / Distributors: Displays stock availability from external product providers.

    • Stock / Total: Represents the combined quantity of your local stock (My Store) and the stock available from the currently active supplier (where Use stock = On).

  • Product details - Prices & Inventory section of the Info tab

    This section contains the product's settings related to prices and inventory tracking. Depending on your store's configuration, in this section, you will find one of the following:

    • A Quantity field reflecting the product's local stock level.

    • A Stocks table where you can see the product’s stock information across multiple stock sources.

  • Product details - Inventory tab

    The tab contains the product's settings related to prices and inventory. Depending on your store's configuration, in this section, you will find one of the following:

    • A Quantity field reflecting the product's local stock level.

    • A Stocks table where you can see the product’s stock information across multiple stock sources.

    In the Stocks table, each row corresponds to a specific stock source — for example, "My Store" (your local stock) or integrated supplier sources such as Turn14 or Keystone.

    For each stock source, you can view:

    • Qty — the total number of units available at that stock source. For local stock (My Store), this field is editable when there is only one warehouse. If your store's local stock is stored in more than one warehouse, the Qty field for My Store is displayed as non-editable, and you must expand the row to view or adjust the quantities per warehouse.

    • Warehouses — a breakdown of all warehouses associated with the stock source. Each warehouse entry displays its name and address, as well as the quantity in stock.

    • Last updated — the timestamp of the most recent stock update. For supplier integrations, this reflects the time of the latest product data import.

    • Use stock — an ON/OFF toggle that determines whether stock from the given source should be used for product availability. For supplier integrations, the default state of the toggle depends on the supplier priority settings; only one supplier can have Use stock = ON at a time.

    • Manage — a link to the corresponding Data Import page of the integration.

    • Settings (Gear icon) — a link to the settings page for My Store, where detailed configuration options for local stock management are located.


How to enable/disable inventory tracking for a product

To enable/disable Inventory tracking for a product, use one of the following methods:

Method 1

  1. Go to the Info tab of the product's details and scroll down to the Prices & Inventory section.

  2. Use the Track quantity toggle to enable/disable the feature.

  3. Click Save changes.

Method 2

  1. Go to the Inventory tab of the product's details.

  2. Use the Track quantity toggle to enable/disable the feature.

  3. Click Save changes.

How to edit inventory settings for products

A product's inventory settings can be found:

  • in the Prices & Inventory section of the Info tab of the product's details,

  • on the Inventory tab of the product's details.

These are product-level settings for the management of prices and discounts and inventory tracking. You can adjust any editable settings. If you change anything, be sure to save your changes by clicking the Save changes button.

In stores where product stocks information is provided on the Inventory tab in a table form, you will be able to access some additional stock-related settings for products that use My Store stock (Click the gear icon on the “My Store” row).

You can adjust the following fields:

  • Arrival date: This field allows you to specify when the product will be available in your store. Can be employed by the Product Advisor add-on.

  • Low stock threshold: Use this field to set the low limit quantity for the product (starting from this quantity, the product stock level will be considered "low").

  • Show low stock warning on product page: Enable this setting if you want a warning message (like "Only X left in stock") to be displayed on the storefront if the product stock reaches the low stock threshold. You can edit the text of the warning message by editing the "Only X left in stock" text label. For information on text labels and how to edit them, see Managing Texts Labels.

  • Notify administrator if the stock quantity of this product goes below a certain limit: Enable this setting to get an automated email notification when the product stock reaches the low stock threshold. You will also need to specify the inventory level at which the email notification needs to be sent in the Low stock threshold field below.

  • Fields of the Minimum Purchase Quantity section. This section is employed by the Wholesale add-on. It allows you to set the minimum quantities of product units that shoppers can add to the cart. See Minimum Purchase Quantities Setup.

If you change any settings, be sure to click Save changes at the bottom of the screen to save your changes.


How to edit stock quantity for products in local stock

A product's stock level can be edited on the Product Listing page or via the product details.

To edit a product's stock quantity:

  1. On the Product Listing page (Catalog > Products), find the product you require.

  2. Adjust the Stock / My Store value for this product.

  3. Click Save changes.

Editing stock quantity via the product details page

Depending on your store's configuration, a product will have on its details page one of the following:

  • A single Quantity field with information on the product's stock quantity (this is the case of simple store setups in which products are sold from local stock only).

  • A stocks table providing detailed information about the product's inventory levels across different stock sources (this is the case of automotive stores using auto integrations).

You will find the field/table in the Prices & Inventory section of the Info tab of product details, or on the Inventory tab of product details.

If there is just one field, you can easily edit the product's stock quantity by editing the respective field value. Be sure to save your changes by clicking the Save changes button.

If there is a table, you can edit the product's stock quantity as follows:

  1. Go to the Inventory tab of the product's details.

  2. In the "My Store" row of the stocks table, adjust the value in the Qty field.

    Note that the field is editable only when you set the "My Store" stock as active (Use stock = On).

  3. Save your changes by clicking the Save changes button.


How to bulk edit inventory settings

Bulk editing of inventory settings is supported. You can access the respective option on the Products page (Catalog > Inventory):


How to configure Out of Stock behavior (Store-wide)

X-Cart allows you to configure how out-of-stock products are displayed on the storefront. This behavior is controlled via the How to show out of stock products setting, located in the Store → Cart & Checkout section. See Storefront setup for more info.
